Position Summary:

Based in South San Francisco, California, our client is a clinical stage biotechnology company focused on developing therapies targeting signal regulatory proteins (SIRP) for treating immunological diseases and cancer. Reporting directly to the Head of Human Resources, the Executive Assistant plays a crucial role in supporting multiple members of the Executive team in a one-on-one capacity. Acting as the primary liaison for internal and external stakeholders, the Executive Assistant manages executive calendars, coordinates travel arrangements, handles confidential correspondence, and oversees special projects.

 

Key Responsibilities:

  • Manage an active calendar of appointments and prioritize requests while resolving scheduling conflicts.
  • Prepare and submit expense reports and compose confidential correspondence.
  • Arrange detailed travel plans, itineraries, and agendas.
  • Serve as a point of contact for internal employees, consultants, Board Members, and external parties on behalf of the Executive team.
  • Plan and coordinate staff meetings, offsites, and company events with input from executives.
  • Organize external engagements including investigator meetings, advisory board meetings, conferences, and other events.
  • Research and prioritize incoming inquiries and requests directed to the Executive team, handling sensitive and confidential matters appropriately.
  • Anticipate the needs of executives and provide proactive support.
  • Prepare meeting agendas, materials, and presentations; attend meetings and conferences as required.
  • Support ad-hoc department projects with discretion and sensitivity to confidential information

 

Qualifications:

  • Five to 10 years of experience supporting C-level Executives; prior experience supporting CEOs preferred.
  • Previous work experience in the biotechnology industry is essential.
  • Bachelor’s degree preferred.
  • Strong professionalism in communication and relationship-building with executives, Board members, and company personnel.
  • Excellent verbal and written communication skills.
  • Strong work ethic and ability to manage multiple responsibilities and priorities effectively.
  • Ability to adapt quickly, work with urgency, and deliver high-quality support.
  • Proficiency in Microsoft Office (PowerPoint, Word, Excel), Adobe Acrobat, DocuSign, SharePoint, etc.
